Re: Arrangements for CADE Hazards one-day Conference
Please let me know if you can make arrangements based on the following:
Venue—Preferably Natt Conference Centre, Itching, Hefts.
Date—5 June, 2004
Times—Registration 08:30—09:00. First session 09:15. Last session scheduled to end at 16:30 Number attending—Estimated 40
Room requirements—Main conference hall with usual audio-visual facilities + 4 side rooms for small group meetings.
Travel—Contact Sid’s Cabs for transfers from Itching station to Conference Centre
Food, etc—Arrange coffee and tea mid-morning and mid-afternoon, buffet lunch (check on arrangements for vegetarians)
Other—Check if any participants require overnight accommodation and arrange with Natt (Company will pay room and breakfast only)
2. This is the Conference Organizer’s reply.
Natt available only 4 June in that week. Change the date of conference or find a different venue?
Natt can do conference rooms, refreshments, lunch (incl. vegetarian). Need to know exact numbers by 30 May.
Five delegates need accommodation. No residential accommodation at Natt, but local hotel has vacancies (advance payment required).
Travel: all participants coming by car, except 5. Two taxis arranged with Sid’s Cabs (who pays?).
3. You also received this note from your boss.
As this month is the tenth anniversary of the founding of the CADE group of companies, we should arrange some kind of a dinner in the evening after the conference.
Write a report of 100 —120 words to the Head Office Conference Organizer telling her what you have finally decided about the arrangements for the conference, including the evening dinner.

Tell Natt that we expect 38 participants, including myself and the Group Chairman. Book five single rooms at the local hotel for the night of 4 June. Contact Jerry in Accounts to arrange advance payment. Note that guests wilt be responsible for extras, e.g. phone calls, minibar. Book two cars with Sid’s Cabs for transfer of five participants from railway station to Conference Centre. They will pay the cab driver. I confirm that there will be a tenth anniversary dinner at the Centre on the evening of 4 June. Make a booking for 38 people.
