答案 Report on recruiting on additional administrative clerk for the Sales Department This report aims to recommend that the company recruit an additional administrative clerk for the Sales Department. With the development of our new sales policy and strategies, our sales staff has been greatly increased. Now we have 18 salespeople in the Sales Department. And that’s doubled the number of salespeople we had last year. In the Sales Department, our sales staff currently can be divided into six teams, which are respectively responsible for six groups of different regions. In order to provide administrative support for the sales staff, we’ve been having one clerk, Miss Lee in the Sales Department. As an administrative clerk, Miss Lee’s main duties are mainly as follows. (1) dealing with enquiries by telephone when the salesperson in charge is not available, and take messages for the appropriate salesperson when needed; (2) helping sales staff receive customers when they visit the company in person; (3) preparing or buying stuff for the sales staff before and during the period a sales campaign being launched. (4) photocopy work, faxing and sending material and documents to the customer for the sales representative. Concerning the continuously increased amount of administrative work in the Sales Department, and in order to ensure that the sales staff is working effectively and provided needed support as before, we recommend that the company recruit an additional administrative clerk for the Sales Department, sharing with Miss Lee the inter-department administrative work, to provide support for three sales teams while Miss Lin may be responsible for the other three teams. Two administrative clerks will mean that there will be minimum delay in dealing with customers and providing effective support for the sales staff. We appreciate that the company take this report into due consideration. The new clerk should have excellent computer skills as well as a good knowledge of MS OFFICE software in addition to good communication skills. Patience, empathy and understanding of individual needs are further essential qualities.
