- apologising for having sent the unsatisfactory refrigerators
- giving reasons for what has happened
- explaining why what happened was exceptional
- offering some sort of compensation to the company.

Dear Mr. Stevens, Thank you for your letter of 17th May expressing your dissatisfaction with our refrigerators. I’m very sorry for having sent the unsatisfactory refrigerators and the great troubles they brought to you. We made a quick investigation to the problem and found out the truth. As you know, we have always maintained rigid standard of our products and practised strict quality examination on the machines before they leaving the factory. However, some of the products sent to you were not inspected careful enough because one of the quality inspectors missed one important process and didn’t tell the next person who took his charge before ending his shift. As a company that cherishes our reputation for reliable products, things like that is very unusual and is an isolated case. We have always been committed to sending the best products to our customers and our customers should never expect to get unqualified products from us. We have made a thorough investigation to the problem and listed more strict rules as to the quality of manufacturing and inspecting process. We will send you two skilled servicemen to your company to check the machines to decide further measures tomorrow. Still, we’re very sorry for the inconveniences caused by the unsatisfactory machines, and will make every effort to compensate to you. Sincerely yours, Lucy Green
